Last updated: 18 August 2026

OllieDesigns respects your privacy and is committed to handling personal information responsibly and transparently.

This Privacy Policy explains what information we collect through our website and services, why we collect it, how it is used and the choices available to you.

OllieDesigns is a trading name of Webtract Ltd. For the purposes of UK data protection law, Webtract Ltd is responsible for the personal information described in this policy where we act as the data controller.

1. Information we collect

Depending on how you interact with us, we may collect information including:

  • Your first and last name
  • Email address
  • Telephone number
  • Company or business name
  • Website address
  • Information you provide about a proposed website project
  • Pages, CMS requirements and functionality selected through our project calculator
  • Project requirements, messages and other information you submit
  • Whether you are commissioning work for your own business or for a client
  • Indicative project estimates generated through the calculator
  • Appointment and meeting information
  • Communications between you and OllieDesigns
  • Marketing preferences and consent
  • Technical information such as referring pages, UTM parameters and information about how you reached our website, where collected
  • Information collected through cookies, analytics or similar technologies where applicable

We only ask you to provide information reasonably required for the relevant purpose.

2. Project calculator

When you use our website project calculator and submit your estimate, we collect the information entered into the calculator together with the generated project estimate.

This can include your contact and company details, selected pages and content requirements, CMS requirements, custom functionality, indicative project pricing and additional information you choose to provide.

Where you are commissioning a project for a client, the calculator may also generate indicative client pricing and margin information based on the markup you select.

We use this information to:

  • Respond to your project enquiry
  • Understand the potential scope of your project
  • Create and manage the enquiry within our CRM
  • Contact you about the project
  • Prepare for discovery calls or subsequent discussions
  • Produce a more accurate proposal or project scope if you choose to proceed
  • Understand the source and performance of our enquiries

Submitting the calculator does not commit you to purchasing any service.

3. Appointment booking

If you choose to book a call, we collect the contact and appointment information required to arrange and manage the meeting.

We may use this information to send booking confirmations, reminders, rescheduling information and other communications directly related to the appointment or your enquiry.

Meetings may be facilitated using third-party conferencing and calendar services such as Google Calendar and Google Meet.

4. CRM and enquiry management

Information submitted through our website, calculator or booking process may be stored within our customer relationship management system.

We use this to manage enquiries, keep appropriate records of conversations and project requirements, follow up on enquiries and manage the progression of potential client projects.

Where appropriate, automated communications may be used to follow up on an enquiry, appointment or proposal.

You can ask us to stop contacting you about an enquiry at any time.

5. Design Journal and marketing communications

You may have the option to consent to receiving the OllieDesigns Design Journal and other relevant marketing communications.

The Design Journal may include recent work, articles, design insights, resources, business updates and information about OllieDesigns services.

Where marketing communications require consent, we will only send them where you have provided the appropriate consent or where another lawful basis permits us to do so.

Providing your details for a project enquiry does not, by itself, require you to subscribe to marketing communications.

You can unsubscribe from marketing emails at any time using the unsubscribe link included in those emails or by contacting us directly.

Unsubscribing from marketing does not prevent us from sending necessary communications relating to an active enquiry, appointment, proposal or client project.

6. How we use your information

We may process personal information where necessary to:

  • Respond to enquiries and requested communications
  • Take steps at your request before entering into a contract

  • Protect our legitimate business interests
  • Comply with legal obligations
  • Send marketing communications where we have an appropriate lawful basis

The lawful basis used will depend on the nature of the interaction and the information involved.

7. Service providers

We use third-party platforms to operate parts of our business and may share information with them where necessary to provide those services.

These may include providers used for:

  • Website hosting and development
  • Customer relationship management
  • Appointment scheduling and video conferencing
  • Email and business communications
  • Payment processing and invoicing
  • Workflow automation
  • Project management
  • Analytics and website performance

These providers process information according to their respective roles, terms and privacy arrangements.

We do not sell your personal information.

8. International processing

Some of the technology providers we use may process or store information outside the United Kingdom.

Where required, we take reasonable steps to ensure appropriate safeguards are in place for international transfers of personal information in accordance with applicable data protection law.

9. How long we keep information

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including maintaining business records, managing client relationships and meeting legal, accounting or regulatory requirements.

Information relating to unsuccessful enquiries may be retained for a reasonable period so we can maintain appropriate records and understand previous conversations if you contact us again.

Marketing information may be retained while you remain subscribed, together with appropriate records of consent, preferences or unsubscribes where necessary.

10. Cookies and analytics

Our website may use cookies and similar technologies to operate correctly, understand website usage, measure marketing performance and improve the visitor experience.

Where required, non-essential cookies will only be used after obtaining the appropriate consent.

More information about the cookies used on the website can be provided through our cookie notice or consent tool.

11. Your rights

Under UK data protection law, you may have rights relating to your personal information, including the right to:

  • Request access to personal information we hold about you
  • Ask us to correct inaccurate information
  • Ask us to erase information in certain circumstances
  • Restrict or object to certain processing
  • Request transfer of certain information

These rights are subject to applicable legal requirements and exemptions.

To exercise a privacy right, contact us.

You also have the right to raise a concern with the UK Information Commissioner's Office if you are unhappy with how your personal information has been handled.

12. Security
